Business Email Migration to Microsoft 365

We move your business correspondence to Microsoft 365 through a controlled plan designed to keep active email and connected websites operating during the transition.

Send an inquiry or review the Microsoft 365 plans and services.

When migration is needed

  • When changing hosting or mail provider.
  • When moving from cPanel, an IMAP/SMTP environment, or another cloud service.
  • When consolidating old addresses and domains.
  • When Exchange Online, Outlook, Teams, OneDrive, SharePoint, and centralized management are needed.
  • When long-standing business correspondence must be retained.

What the standard service includes

The standard migration is planned around the confirmed source, available access, and provider constraints.

  1. Assessment of domains, mailboxes, and approximate volume.
  2. Backup of relevant DNS settings.
  3. Preparation of the Microsoft 365 tenant, users, and licenses.
  4. Connection and verification of the domain.
  5. Export from the existing mail server without promising a specific file format.
  6. Import of existing correspondence.
  7. Folder preservation where the source permits it.
  8. Planned DNS/MX cutover.
  9. Inbound and outbound mail testing.
  10. One final delta synchronization.
  11. Migration report.
  12. Onboarding for Outlook and Microsoft 365.

Six stages of a controlled migration
1
Discovery and technical assessment

We confirm sources, approximate volume, available access, and constraints.

2
Preparation and settings backup

We prepare Microsoft 365 and back up relevant DNS and mail-routing settings.

3
Initial copy

We copy available active correspondence according to the controlled plan.

4
DNS/MX cutover

We change mail routing in the agreed window without unnecessary changes to website records.

5
Delta synchronization

We synchronize newly arrived messages from the transition period after cutover.

6
Validation, report, and handover

We test delivery, document the results, and provide access guidance.

Incorporating email stored only in a local archive

An organization may hold a historical Thunderbird or another local archive containing messages that are no longer present on its active mail server. This content is not part of the standard active-mail migration because it is unavailable from the source server, but it can be handled as a separate additional workstream.

We can analyze the archive, compare its messages with the already migrated mailbox, remove duplicates, and import only eligible historical records. The process may include a dry run, preservation of original dates, and a detailed CSV report. This work is quoted separately based on archive volume and condition.

What we confirm before quoting

  • Mailbox count and approximate volume for each mailbox.
  • Number of domains and source servers.
  • Available DNS and Microsoft 365 administrative access.
  • Aliases, shared mailboxes, or send-as requirements.
  • Availability and condition of separate local archives.
  • Preferred migration window.
  • Calendar, contact, and file requirements.

Pricing

€100 excl. VAT per mailbox up to 10 GB for a standard migration. Two standard mailboxes are €200 excl. VAT, three are €300, and four are €400. For 5 or more mailboxes, we provide a custom quote with a volume discount.

Mailboxes over 10 GB, multiple source servers or domains, and separate local archives unavailable on the active mail server are quoted separately based on the required engineering hours. Microsoft 365 licenses are billed separately.
