Company Email Signatures

Your email signature is part of how clients and partners experience your company. A consistent template presents your logo, contact details, and company information clearly, regardless of which employee sends the message.

Company Email Signatures uses Exclaimer to manage signatures centrally and apply them on the server. Employee details are synchronized with Microsoft 365 or Google Workspace, while the layout is managed in one place. NC Software Engineering helps you select a suitable plan and offers initial configuration within an agreed scope.

Consistent branding across employee signatures

When signatures are configured individually, changes to logos, job titles, and contact details need to be made in multiple places. This makes it harder to maintain accurate information and a consistent layout.

Centralized management helps apply approved elements consistently across the team. Changes to company branding or contact details no longer require each employee to edit their own signature template.

How it works

Centralized management for the entire team

Approved brand elements
Approved brand elements

Logos, colors, and fonts are organized in a shared Brand Kit. Signatures use an approved layout that is managed centrally.

Up-to-date employee details

Names, job titles, and contact details are populated from your Microsoft 365 or Google Workspace directory. Available fields and photos are mapped to the template during configuration.

The signature is added as outgoing messages are processed, without relying on a local Outlook template. With the appropriate mail flow configuration, this covers messages sent from desktop, mobile, and webmail clients.

Rules aligned with your organization

Standard and Pro support different templates and rules for selected groups and recipients. Departments can include relevant information while maintaining a shared corporate identity.

A consistent layout in real correspondence

The NC Software Engineering signature shown here illustrates how brand elements, contact details, and links can be organized within a single layout. It is a visual example, not a specification of every feature included in a particular plan.

During implementation, the layout and content are tailored to your company’s identity and approved resources.

A signature can include a regular link to your company’s survey or feedback form. Pro also offers a Customer Thermometer integration for one-click surveys. Destination resources, required configuration, and the terms of using the integration are agreed separately.

Include a link to an approved review page, such as your company’s Google or Facebook profile. Feedback capabilities are planned around the selected license and the configuration required.

Use a signature banner to highlight a current service, event, or campaign. Standard and Pro offer scheduling capabilities without requiring employees to update their signatures individually.

Pro supports content from compatible social channels. This provides an additional route to company posts, with the specific connections and settings agreed during implementation.

Integration with your existing email environment

The solution connects to Microsoft 365 or Google Workspace and uses employee directory data to populate signatures. Server-side deployment requires outgoing mail flow configuration; it does not require moving your mailboxes to a different provider.

Optional initial configuration by NC Software Engineering includes:

  • Connection to Microsoft 365 or Google Workspace.
  • One Brand Kit and one signature template.
  • Mapping of available name, job title, phone, email, and photo fields.
  • Configuration of server-side signature application.
  • One revision and a brief handover.

Additional templates, photography, ongoing campaign banner production, and survey or social content connections are not included in the initial configuration. Additional work and ongoing service arrangements are agreed separately.
